Job Description

Key Responsibilities:

Project Support and Control:

Assist Project Managers in controlling projectsTrack project progress, identify and resolve issuesCoordinate with project stakeholders and provide regular status updatesManage project documentation and filesProvide administrative support to the project team

Financial Management:

Review funding requirements and submit based on vendor proposalsManage capital projects financially - handle purchase orders, change orders, good receipts, and invoicingMonitor capital project activity and ensure spending is within the established budgetCommunicate with Project Managers to ensure working capital/expense funds are released when neededSubmit funding/budget requests in the financial system

Project Administration:

Create and activate opportunities/projects in TRIRIGA Project ManagementReview and validate quotations from suppliers/general contractors (Name, Description, Quantity)Document due diligence and upload it in TRIRIGACoordinate with APO (Administrative Processing Team) for purchase requisition/PO issuance to suppliers/vendorsNotify Project Managers on PO issuance and fund augmentation needsManage goods/service receipt processesExecute physical project close-out in TRIRIGAMonitor payment schedules

Reporting and Database Management:

Maintain database and reports to support project management and budget reviewMonitor and administer project dollars to ensure spending is within established budgetMaintain tracking forms and generate reports

Qualifications:

Bachelor's degree with 2-3 years of experience in basic financial management in the construction/project delivery fieldFundamental knowledge of finance concepts like Budget, OPEX, CAPEX, etc. Excellent communication and interpersonal skillsAbility to work independently and as part of a teamGood attitude and willingness to learn and be trainedProficiency in G Suite, project trackers, and SmartsheetExperience with Microsoft Office suite of applicationsStrong planning, organizational, and time management skillsMust be willing to work in line with US time zones

Desirable Skills:

Experience in retail store build projectsFamiliarity with TRIRIGA Project Management systemKnowledge of procurement processes and financial management principles
