Horseware Ireland is looking for an ambitious, versatile, detail-oriented, design-minded facilitator of project excellence. Someone who enjoys collaboration and knows how to cross T’s and dot I’s. The Marketing Production Coordinator will work with the creative, marketing, sales, and merchandising teams to coordinate incoming projects and day-to-day creative requests. The Coordinator maintains time action plans and schedules ensuring that the creative flow of content, design, approvals and production efforts are on time, on schedule and on budget. The Coordinator supports team communication between Creative and all teams to troubleshoot at every stage of a project.
Essential Job Functions:
* Collaborate with Marketing, Sales and Merchandising Departments to ensure that complete and accurate information is provided to define requirements, expectations and deadlines for creative projects
* Define, manage and maintain a scalable creative asset management process utilizing industry best practices and project management tools where applicable
* Work with internal and external stakeholders to ensure projects are briefed and delivered on time
* Coordinate efforts within the creative & marketing functional teams – to include copy, design, photo, and video
* Willingness to learn and stay current and relevant in product categories and business priorities
* Create, maintain and support schedules for all creative projects, including print collateral, digital, video and ecommerce storefront design assets
* Alert Marketing Management team of conflicts, risks, delays or any other unusual situations and support to resolve these matters and/or obtain deadline extensions when necessary to limit disruption and keep the project on track
* Aid in weekly creative status meetings and maintain project status documents and reports
* Track all timelines, project communications and deliverables for the Creative team
* Collaborate with Creative & Marketing Management team to delegate daily tasks within the creative department
* Update creative process documents/brief templates as needed
* Coordinate proofing and approval processes, across print and web
* Assist with training internal resources and clients on creative systems and processes
* Compile agendas and schedule meetings (i.e. Creative Brief Reviews) ensuring all appropriate stakeholders will be present
* Scribe meeting notes and make sure all attendees are aware of next steps and action items
* Archive completed projects, maintain and enforce file archives
* Track and record quarterly creative production costs to 3rd party vendors/agencies
* Request quotes from vendors and get approval on pricing before production
* Assist with small design edits and creative production tasks
* Attend and assist on photo shoots as needed
* Distribute artwork files to vendors and publications as requested

Qualifications:
* Bachelor’s degree
* 2-3 years of experience coordinating projects and/or other planning-related duties, preferably in an in-house creative or agency setting
* Good time- and project-management skills with the ability to self-manage and work as part of a team within a dynamic environment
* Strong computer skills, including experience with project management software and ability to learn new systems quickly and troubleshoot issues
* Superior organizational skills, diligent record-keeping habits, and attention to detail
* Exceptional interpersonal and communication skills
* Ability to work under pressure, multi-task, and prioritize work
* Understanding of in-house processes including creative operations and production
* Possess a cool, calm, proactive and collaborative approach to problem solving
* Comfortable taking direction and changing gears quickly
* Experience in agency account management a plus
* Horse experience is preferred but not required
* Sense of humor

* Experience working in Trello, Asana, or Wrike a plus
