Role Overview

Engineering Operations is a team within the Strategy & Operations department in Ptech (Personio’s Product, Engineering, and Design org). We work closely with the Technical Program Management and the Enablement and Community teams. Engineering Operations have responsibilities across the organisation, from managing organisation wide events (like hackathons), to key business rhythms (like our monthly engineering team meeting) and critical budgets and operations which enable our business (think software, contractors, swag).

Typically our small team is responsible for a mix of ‘business as usual’ items, as well as creating processes and developing them from zero to one, depending on the business need. This role is suitable to someone who’s excited to take on and improve existing well established processes, and is excited by the opportunity and challenge of taking on new projects. Our team works closely to support each other to ensure successful delivery of our team’s commitments and of each other.

The ideal candidate has worked with or within Engineering before (though this is not a blocker), and is familiar with typical engineering culture concepts and common organisational health and business operations. This is a mid-level role, suitable for someone who’s excited to work within an Engineering organisation and who’d like to grow their expertise within this domain.

The following are key examples of responsibilities someone successful in this role would have, and most items are shared among the team (ie you would not be expected to do all of this immediately!)

Key Responsibilities:

Deliver on critical engineering rhythms and invest in continually making them betterDevelop project plans, timelines, and deliverables to ensure smooth execution of key engineering rhythms (monthly org meetings, cross-departmental partnerships) Be excited to work on continuous improvement of core operations and processes, ensuring we are always lean (ie doing the right work, discarding or automating what we can) and scaling (ie maturing processes effectively so we can have a bigger impact)Managing processes and relationships to enable confident, concise and accurate delivery of key team goalsDevelop and implement operational policies, procedures, and standards to enhance engineering effectiveness and efficiency, specifically working with stakeholders from across this business. This might look like working with IT and Workplace to organise a 600 people meeting, or it might look like managing external vendors to facilitate an onsite meeting for 60 people. Sometimes this might also look like managing the relationship with external software vendors for contracts worth millions. Be the driver for Engineering and Ptech EventsOrganise and deliver organisation wide events such as hackathons. These run 2-4 times a year, and are key events on our engineering calendar that drive a lot of excitement, engagement and are a key part of our culture. Manage all aspects of event, from budget and executive comms to operational and location based logistics, including working with individual engineers as well as executive leadership Communication & Change managementWe lead a lot of key communications for our organisation - that looks like being the people who get our org excited about upcoming events, and adopting new processes we create. Our job is to be excellent communicators, and to track adoption of our new processes. We need to be passionate about successful change management, and ensuring our stakeholders feel informed and supported, and we always need to be ready to receive feedback on what is (and is not!) working.
Qualifications, skills, and experience:

Excellent verbal and written communication skills, and experience working with organisations and leadership teamsIdeally, experience organizing and running internal events (e.g. leadership on-sites, org meetings) and working with internal teams such as workplace and IT, and/or working with external vendors Experience in operational process creation, delivery and improvement [Preferred] Understanding of software development and product development life cycles / engineering culture Track record of delivering high quality cross departmental programs Ideally experience working with engineers/engineering managers, as well as senior management (Directors, VPs, c-suite) Analytical and process focused, excited to continually improve, learn new skills, and to be a force multiplier for the organization
