Events & Operations Coordinator Location: The Helix, DCU, Glasnevin Hours per week: 35 hrs Reporting to: General Manager Term: Initial 12-Month Contract with a view to permanency Salary: Depending on qualifications & experience

Job DescriptionAre you ready to take on a fast-paced and dynamic role in one of Dublin’s leading multi-purpose venues? As Events & Operations Coordinator, you will be at the heart of The Helix, ensuring the seamless execution of performances, conferences, and events. No two days are the same – one day you might be overseeing a sold-out theatre show, the next, managing a high-profile corporate conference.This is an exciting hands-on opportunity to gain valuable experience in venue operations. You will work closely with all departments to ensure every event runs smoothly, safely, and successfully. Your responsibilities will include managing event logistics, coordinating with clients and guests, and ensuring compliance with all health, safety, and regulatory requirements—all while delivering exceptional customer experiences.If you thrive in a high-energy environment, have excellent people management skills, and love the buzz of live events, this is the role for you!

Key Responsibilities Oversee the execution of all events – from live performances to corporate functions, ensuring smooth and efficient operations.Act as the key point of contact between clients, bookers, and event organisers, confirming all requirements and ensuring every detail is in place.Manage event logistics, coordinating across all departments (technical, front-of-house, box office, catering, and security) to ensure seamless communication and teamwork.Lead and motivate the operations team, overseeing recruitment, training, and performance to maintain high standards of service and professionalism.Ensure compliance with all event reporting, Health & Safety regulations, fire evacuation procedures, and company policies, including Child Protection Policy. Maintain operational oversight, including scheduling staff, managing timesheets, and handling incident reports.Enhance the customer experience by ensuring guests, clients, and patrons enjoy a safe, welcoming, and well-organised event.Manage and coordinate volunteers, ensuring they are fully trained and engaged in supporting venue operations.Proactively problem-solve any issues that arise during events, making quick, effective decisions to maintain smooth operations.Collaborate with all departments to ensure The Helix continues to deliver world-class events and experiences.Please note that additional responsibilities may be assigned as required by The Helix management.

What You Bring to the RoleProven experience in event or operations management, ideally in a multi-purpose venue, theatre, or hospitality setting. Strong leadership skills, with the ability to manage, inspire, and support a diverse team. Excellent communication and interpersonal skills, ensuring effective collaboration across departments. Ability to multi-task and problem-solve in high-pressure environments. Passion for delivering outstanding customer experiences in a live-event setting. Knowledge of health, safety, and venue compliance regulations, with a proactive approach to risk management. A flexible approach to work, including evenings, weekends, and event-based schedules.
